The activity that we are going to organise is a play that will be held at a school. The play will be organised to raise money for children in need. The name of the play is going to be called “Romeo and Juliet”. This relates to the citizenship studies course because it brings about changes in individuals. The aim for this activity will be for people to help raise money for
help raise money for children in need, to put on a very entertaining evening and for people to walk out of the school pleased with what they have seen.
Even though this activity is held at a school, it is going to be a community based activity, this means that anyone will be able to come and watch. This activity has been organised in a group, there are 5 main people in the group; each person has their own duties for example, there is one person who is responsible for everyone to practice the play and has taken the main responsibility in what happens in the play. The second person will make sure that we have the right equipment needed, the third person is going to makes sure everyone is punctual to every meetings and if they are not then that person has to make sure they find out what is going on. The fourth and fifth people will make sure that the tickets get sold, and everything goes to plan, they will also make sure that there is a suitable place for the event to take place.
There is going to be a questionnaire made for the people in the community to fill out, this questionnaire will ask questions like what they are expecting from the whole event, it will also ask questions such as how much is a suitable amount of money to spend and what the time duration people think it should be; this is important because people might not be able to stay over a limit of time. There are also meetings that take place, these meetings talk about how the activities could be improved and if anyone has new ideas then this is when they share it.
The order we will be doing our activity is, first of all we are going to think about what the event will have, there is going to be a play as well as that there is going to be a chance for people who have come to watch the play perform so they can feel that they are involved with the event. After the actual activity is planned out the two people who are responsible for where the event takes place will try and find a hall or somewhere big and spacious for the even to take place. Later when that is sorted there will be posters about the play which gives information about what the play is going be, where it is going to be held and why there is going to be a play. A long with that there will be other posters which will help people realise why we are raising money for children in need, this will be done by printing children in need posters and sticking them in the public for example on lampposts.
For children in need my group and I have organised activities which will help raise money, we will put on a play as well as other activities that will also raise money for charity. To get the actual play sorted the group held auditions for pupils in the local pupils in schools, from the auditions people were chosen to take part in the play. To get the play sorted it took a good 4 to 5 weeks of good practice. After the play was organised we thought about other activities that could bring more excitement to the event, later after we sorted what the event is going to hold we tried our best to find a hall were the activities could take place but unfortunately there wasn’t a hall big enough for all the activities we had, so instead the event was held at a school.
This was a perfect place for the play and the activities to take place, this it because the hall was extremely big which meant a huge number of people can attend to evening event and also get a clear view of what is happening as well, so this meant there wouldn’t be any complaining, we then wrote a letter to children in need asking them if they could send poster and brochures about children that are in need of support. We also made posters of our own telling the community what the activity is about, when will it be held, how much the tickets cost and how to get hold of them. Other important information was also printed on the poster. As the poster were getting hung up in public the tickets for the event was being sold.
Other people have helped to make this event an amazing evening. Parents helped us by giving us advices on were we should go look for a place for the event to happen and even teachers helped by giving us ideas about what other activities that should be added to the event. The community helped my filling in the questionnaire and handing it to us as quick as they could, our friends and family also helped by making posters and helping us sell tickets and making sure that people hear about the event that was going to take place. Personally I think without all of these people we wouldn’t have achieved what we wanted.
The group and I had many rights and responsibility. My responsibly was to make sure that everything goes to plan and to make sure everything we said will happen happened. I also felt I had the responsibility to make sure that everyone was enjoying themselves as the even started. I also took on the responsibility to look for a place were the event could take place. The group and I took on the responsibility of making sure that the school was a smoke free environment and there was no one drinking alcohol, we also made sure that there weren’t any arguments or anyone fighting. My rights were to put as much effort into this event as everyone else and to be punctual for every meeting and play practises, and if there was any problem why I wasn’t able to come I had the right to tell one of the other group members.
From the questionnaire we made for the people to fill out, it helped us a lot. They helped us as they told us what people want to see and what would make the event more interesting. They also helped us by telling which day they could come to the event.
The actual event took place inside; even though it was hot there were air conditioners so this meant that everyone could enjoy the evening. The play took place for 1 hour 55 minutes but there was a 20 minute break were people were allowed to use the toilet if they needed to or get some food if they wanted to.
In the evening when the people first entered the event people were standing near the gate seeing if the people entering the event have tickets (people were able to buy ticket on the event night) as they got in though the gates there were many fun activities that people could enjoy and games were they could win prizes. There were also many different types of food to eat. Just before the play started one of the group members let everyone know that it is about to start. As the play was going on there was a stage that was being set outside on the field, this was because we were having a surprise singer come in and sing for us. We later let the people who wanted to act or perform anything perform on the stage. The event started at 3.30 pm and finished at 7.30 pm on a Saturday.
In order to fulfil out plans we had to make many sacrifices, for example if there was a meeting and one of the group members had to go somewhere they had to make sure they knew what was going on in the meeting even if it meant cancelling their own plans. We also gave up a lot or out spare time so this meant that we could make it a successful event. If we could do the event again and make it better I think we would have started planning everything earlier so we could have found a better place for the event to be held.
The people that we asked to help us had to make sure that what every they said they were going to help us with they had done it quickly so we can set it all up quickly.
Overall I think that the event was very successful, the are no main improvements that could have been made because everything went according to plan. All the aims set for this event were met so I am extremely happy about that. Event though the event went according to plan I still think that we should have carried out more research for example we should have found other ways of raising money like finding out how the children in need are going to spend it and have more information about it on the posters so that we could get more help, but overall I am pleased with what we have done.
