Introduction of TOPIC

We conducted a research in KIA Motors, Marcos Highway Branch to know their system and what we can contribute to improve their processing of data. Because of manual type process of their transactions, KIA MOTORS cannot access and monitor their files easily. For example, the profile redundancy of their customers or the records has not been stored properly. Also, they cannot easily update the payments of their customers who purchased in the banks. As what sales manager told us, they always have this kind of problem in saving records of their applicants, Then after this study will be made, this will serve us their automated type of recording data and records.

SYSTEM OBJECTIVES
The general objective of the study is to design and develop a program that will provide the company to use a computer generated system in transactions and daily task. The proposed system will be as follows: 1. The proposed system will store data of the customers properly. 2. The proposed system can monitor the transferring of files and inventory of the company. 3. The proposed system can easily updated their clients in connection with banks and paying centers. 4. Proposed system that can sort and filter the records and transactions of their clients. 5. Proposed system can easily update clients who transacts on their car shows.

STATEMENT OF THE PROBLEM

HYPOTHESIS
In the hypothesis of this project this will be the main system that KIA MOToRS will use for transacting with their clients. The proposed system will be accurate in every terms like looking for client personal information and this is also will be use any transactions will be made in their company. There will be Large capacity of storage for recording files or data in the system. SIGNIFICANCE OF THE STUDY

This proposed system is design to eliminate all the inconvenience and disadvantage of a manual system. Some businesses use manual system in all their business operations, but some are using automated to prevent loss of time and inconvenience .Disadvantage are the natural part of manual system in operating the business. With this proposed automated and computerized version of the business system, it is expected to the transaction process for the customers to become more accurate and will aid in managing time especially for those seasons that the number of customers are at its peak. It also easily locate the transactions and records of their employees.

SCOPES OF THE STUDY
The PROPOSED SYSTEM has a login form that can be accessed by the Manager, Sales Director, Sales and Marketing Manager. It has a program that can be monitor the inventory of the company, the transactions of their customers on their branch and also in banks. It has a record of their employee’s monitoring system of daily task and schedules. It also has a record of sales and finance report according to date and time.

LOGIN MODULE:
Performs logon for basic or form authentication. You can use this login module to perform authentication with user ID and password. USER ID: Input so that the system can validate who open the interface PASSWORD: use as an authentication, helps to maintain security of the data and records of the company.

ADMINISTRATOR MODULE
Business Unit: Along with different Business Unit Address Details with Taxation Related Details like VAT No. TIN No., PAN No. etc. to be stored in this form. Admin can create no. of Business Units under which the Company is Operating

Company Master: (Parent Company or Main Company)

Branch Master: Under Each Business Unit, various branches can be created along with their Address and contact details. Branch is mainly for creating multiple users in each branch and accordingly the users can be given the access rights. Current branch is displayed on the Main (Home) Screen and Change if Branch is also possible by a click of a button without logging off the system in a truly dynamic Tree Structure Environment. User as per his access rights can switch from one Branch to another in different business units from this form. Advantage is that User doesn’t have to Logoff the System every time he wants to change the branch. Database Backup: Admin/Users can take a Regular Database Backup manually by clicking one Button and all data from the database will be saved as one file in a particular destination. Sales Enquiry : All Enquiries coming from various sources can be entered in the system. Nature of Enquiry, Basic Client Details, and Product Details can be entered.  Quotation : Quotation of Individual Products or Finished Parts with Assembled Items can be made from the system by entering various details like Client Details, Terms and Conditions, Discount Structure etc.

Search: quickly helps the administrator or manager to find the records in the system. The system has its search box in order to easily locate the information needed regarding the records of transactions of their clients, inventories, sales and more. Also if the customer wants to know their record they will search a particular name to retrieve any information they need.
This module presents all the records that the user wants to locate.
