The Sales and Inventory System is creating a web-based system. Advanced system on sales provide more reliable recording of sales of the company with comparison to its actual cost. Sales and inventory makes the company more productive, efficient and convenient to the company and its client. The system is meant to help the people show to their customers more relevant items, hoping to expedite and increase the sales and most importantly to increase the profit of the company. With the aid of sales and inventory systems, management can easily make consistent, reliable, and timely decisions. A computerized information system is far superior to a manual system when it comes to accessing files, as the speed at which this can be done is far quicker. If an employee’s records are needed, these can be accessed in a matter of seconds, simply by searching for the relevant person on screen. All the information needed can be stored on a single file, as opposed to having reams of paper and various files for each employee that would require sifting through to access in a manual information system. Confidentiality, files kept on a computer based information system.
It can be password protected, so that only the authorized people can view the files. In a manual information system, the only way to keep files confidential would be in a locked cabinet. The speed at which these files can be accessed is far quicker even when using a password protection system on a computer. Space Needed. All files can be kept on computer, taking up far less space, than having to house filing cabinets, shelves and drawers to keep track of paperwork. A computer accounting system for example would house all delivery notifications, invoices, purchase orders, and payment details in small files on the computer, whereas in a manual system the information would be needed to be kept in separate files in a certain order, for them to be easily accessible Basically a manual-based information system is one that does not rely on any computerized systems and a computer-based information system does. A manual-based system will see information recorded and kept in different ways such as in files in paper form. Where as a computer based information system will see data stored on various computer programs including on databases, Word documents, Excel etc.
The proponents use Transaction Processing System (TPS) as information system for proposed system of the company. Transaction Processing System (TPS) defines as a computer-based version of a manual processing system. The proponent will create a Computerized Sales and Inventory for the said company as to improve and make easier their manual processing system. A. Background of the Problem
The Car Tint Auto Parts is located at #112 Tandang Sora Avenue Tandang Sora, Quezon City. Since 2004, Eduardo Albaladejo is built Car Tint Auto Parts the business in industry .The Car Tint was a small business for 6 years but in year 2010 they expand the business and they have one branch in Congressional Avenue .The company have a three employees and it is their relatives . The product of the company is the different types of mechanism manual, side mirror, door of cars, tint, power window, handle, headlights. They sell the product in retailer and also repair the damage of the products if possible. The company receives the order of the customer; they order the product to the supplier through call or visit the place of the supplier to pick up the products. They do not accept credit cards or bank checks because the products are in cash to cash basis. There are some problems in the company in terms of selling their product.
This are (1) Damage of the product. Some companies accept all the products w/c has damaged. But others do not return it so inspection of the products should be made. (2) Prices of the product. Every month, some price of the product will increase and decrease so sometimes it’s so hard to identify what product will be increasing or decreasing. (3) Order of the product. Ordering process begins with the listing of the product that the customer ordered and they do not deliver so that the customer must pick up it on the said branch. (4) Human error difficulty. Some customers are good customers and some are not. Especially those customers who want to test all your products the so you will entertain and demonstrate it to them but they will not buy it. It consumes more time in entertaining them. Also, some of the customers like to repeat what you’ve said so in that case you should be very patient to them. B. Overview of the current state of the technology
The owner of car tint are using manual system to operate the company and purchasing an order to the company’s supplier through calls or the supplier sends a representative who comes and visit once a month. Then they will receive the products that they order from the supplier and the company will give the money exchange of the products. It is made as neither retailer nor wholesaler basis and the order goods. Sometimes it is based on the season and the business made inventories twice a year.
The salesperson of the business is the one who update the products, inventories and sales. Eduardo Albaladejo is the owner, his wife is assign at the cashier and the other two workers are helpers. Positions in the company
C. Project Rationale
The host company will benefit the most of having the Computer-based Sales and Inventory System because it will minimize its deficiency when it comes to accuracy and time in giving out the customer or clients and supplier the information about their product and its availability. At the same time, the company can be more competitive in giving faster services. The manager/owner/cashier will have a great advantage when it comes to the store progress in sales and inventory in a minimum amount of time. The manager can easily evaluate the competency of their store when it comes to giving out service and the availability product. Computations and report generations will be easier and faster. The Personnel will benefit with the propose system because it will minimize the time the Personnel needs to verify the availability of the product and reduces the possible error that’s being encounter The Personnel has a benefit with system during the inventory of the items/products supply available the storehouse. The proponents will benefit this project too. If we make the system for the said company, we will pass the project that is required to the subject. And after that we can move to the next subject that the student need to finish again. II. PROJECT DESCRIPTION
In this chapter, the students who are the developer of the system are going to tackle about the company’s main problem in its existing system and are also going to discuss the specific problem that causes the host company’s loss and incompetency to the market. The propose system that the students come up with will be discuss to maximize the competency of the host company along with the details, the scope and limitations, and the methodology used for the study. 2.1 Problem Statement
In this chapter the proponent will specify the general and specific problems of their company that has encounter through interview or observation. 2.1.1 Major Statement
1. How to create a Computerized Sales and Inventory System for Can Tint Auto Parts that will easy to use? Car Tint Auto Parts using the manual system for the operation of the inventory the proponents decided then to develop a computer-based sales and inventory system that the store can use to be able to solve major and minor problems encountered when using a manual system in doing these operation. 2.1.2 Minor Statements
2. How to organize the record of all the Information about the system? Car Tint Auto Parts has many supplies and in order to organize it, we decided to use the database in order to find the information we required such as product name, product price, product sales 3. How to make the user easily find the validate returned products? Product returned include damage items when a product is returned, it should be accompanied with the receipt of the purchased product. Since only the product category and its price are indicated in the receipt, it would be hard for the manager to easily find and validate the product and the receipt so as to accept the return transaction. 2.1.1 General Objectives
The general objective of the study to make a Computerized Sales and Inventory System for Car tint Auto Parts that will solve, improve the transaction needs of the company The proponent will design and develop a Computerize Sales and Inventory System for Car tint Auto Parts that can easily to use unlike the manual system that can compute manually. 2.1.2 Specific Objectives
To develop a system that easy to organize the files, supplies, and product sales of its company In order to the user to easy to locate the files, easy to manage the supplies, faster computation of product sales. 6. To develop a system that will organize the record of all the information about the system. In this statement the proponents need to organize the record of all the information about the system so that we can easily see all the information we need to see if it is necessary. Without organization the system will have corrupted files and revision would be impossible in the database. 2.1.3 Scope and Limitations
The Study is conducted to develop computerized sales and inventory system for Car tint Auto Parts. This computerized sales and inventory will ease the work of the persons involved in this system to minimize their tasks as well as to keep up with the technology nowadays. Returned product/s due to damage which is accepted for return or exchange can be easily validated through a reliable receipt that will indicate the store’s name, product name, product price and the date that purchased or date of transaction will be adjusted in a returns form. Limitations
The system cannot provide a payment using credit cards and bank checks. Obviously it is more profitable to have an online ordering but probably it cannot apply them online orders. The transaction or method cannot be converted in to a computerized system and can only be done manually such as evaluating the reports or suggesting an alternate product or any decision related problem. 2.1.4 Methodology
The proponent’s method in making the system is the Systems Development Life Cycle or simply SDLC is the methodology that we used in our system. It is the development cycle designed to give much faster. To be able to accomplish the requirements of the proposed system, the proponents decided to use the System Development Life Cycle or simply SDLC and divided the cycle into five phases. The SDLC is a phased approach to analysis and design that hold that systems are best developed through the use of a specific cycle of analyst and user activities. Although each phase is presented discretely, the proponents did not intentionally make them as separate steps instead, several activities may occur concurrently, and activities may be repeated, because SDLC is more useful if it is applied as phases rather than in separate steps.
