Computer nowadays makes work processes more efficient and reliable from manual operations of different firms. With the power of technology nowadays, people get interested with computers. They try to indulge themselves on it to have a productive result in a more efficient and time saving process. It is highly valued in institutions like business enterprises schools, hospitals, government and non-government services.
Reservation and Billing is a computerized system which is a systematized process of security and availability of certain goods and services for a certain event or need of a customer and calculate the corresponding cost of the chosen goods and services for payments. It is an organized system that does not only handles booking transactions but also keeps and tracks the records of the clients (resort billing and reservation.htm).
Kayla’ a Beach Resort, a manually operated resort establishment takes time for the front desk in-charge to retrieve files, compute payments, and issue receipts hence customers have to wait for a long while. More so, the process is prone to errors and loss of records or data.
Amidst these complexities, a computerized process is the solution to make the procedures more accurate and time saving. Through the use of computer transactions, the front desk in-charge will have less time and effort in computing payments and retrieving data. There is an assurance of an accurate output without losing important data. The implementation of the system would improve customer service and be able to compete into the business community of today.
The world is continuously changing towards the advent of a high-technological lifestyle. That is why, man’s satisfaction level gets higher, as he experiences the convenience brought by automation. From here the researchers strive to discover and search for more effective ways on how man can conveniently live their lives. Technology such as the use of computer and networking are some discovered means that lighten man’s workloads without comprising quality of the results. This kind of technology is best observed in business or companies such as hotels and records. Relative to the researchers study, this technology will be implemented to a resort and hotel for reservation processes.
The study is referred to Ramez Elmasri and Shamkant B. Navathe. Transaction processing theory states that a transaction is a logical unit of database processing that includes one or more access operations (read-retrieval, write-insert or update, delete), or it is a set of operations, each transaction must succeed or fail as a complete unit, it cannot remain in an intermediate state. Transaction processing is designed to maintain a database integrity (typically a database) in a known, consistent state, by ensuring that any operations carried out on the system that are interdependent are either all completed successfully or all cancelled successfully. (Elmasri and Navathe: 2007).
The Principle of Automation is concerned on the findings of efficient computational ways to perform human tasks. Tasks can be physical, such as running an assembly line, driving a car, controlling airplane surfaces; or mental, such as doing arithmetic, playing chess, and planning schedules. The principle tries to emphasize that there is an efficient computational ways to perform human tasks. Behavioral acceptance tests are used to determine whether a developed system with human doing the task manually is still efficient.
On the other hand, there are numbers of resorts/hotels implementing Reservation and Billing System. An example of this is the D’Budgetel located at Corrales Extension, Cagayan de Oro City owned by Monte Carlo Realty and Development Corporation. The establishment have computerized Reservation and Billing System which is very useful to the management and in order to have a synchronize flow in their transaction system.
Another one is the Quirino Baclaran Hotel which is located in Quirino Avenue Baclaran, Parañaque City. It was established on January 2, 2009. The hotel has fifty (50) rooms. Five (5) storey building. There are three (3) types of rooms, Regular Rooms, VIP Rooms and Suite Rooms. Currently, the hotel has a computerized reservation, billing statement and room allocation for their hotel. It has implemented a computerized reservation and billing system of the hotel in order to improve efficiency of its daily business transactions thus, enhancing the quality of services for its guests.
The existence of these system serves as basis of the researchers to meet the specifications and features needed to implement the computerized reservation and billing system locally. This system will contribute to the advancement of Kayla ’a Beach Resort in Balbalan, Dimiao, Bohol.
Article XIV. The 1987 Constitution of the Republic of the Philippines states that:
“Science and Technology are essential for national development and progress. The state shall give priority to research and development, invention, innovation and their utilization; and to science and technology education training and services. It shall support indigenous appropriate, and self-reliant scientific and technological capabilities, and their application to the country’s productive systems and national life. (Muñoz: 2002).”
According to this article, the state shall regulate and transfer and promote the adaption of technology from all sources for the national benefit. It shall encourage the widest participation of private groups, local governments, and community-based organizations in the generation and utilization of science and technology.

Statement of the Problem
This study aims to develop and design a Computerized Reservation and Billing System at Kayla’a Beach Resort in Balbalan, Dimiao, Bohol as basis for the proposed computerized reservation and billing system.
To meet the specifications and features needed by the system, the researchers aims to answer the following questions:
1. What are the problems encountered in their manual reservation and billing system? 2. How are records kept and retrieved?
3. What are the services offered by Kayla’ a Beach Resort? 4. What are the processes for reservation?
5. What are the ways to resolve the identified problems of Kayla’ a Beach Resort reservation and billing system?
Significance of the study
Computerized reservation and billing system is necessary in every resort, hotel, hostel and the like where the records of the guests or customers are kept. The proposed system will help the management improve the process of manipulation and computation efficiency. Without the proposed system, the institution will have difficulty in accessing their everyday transaction especially in handling records.
To improve the present system being used, the computerized reservation and billing system is recommended. A computerized system reduces human errors and processing time. Thus, it would result to a well-integrated process that can perform faster and more accurate than a manual system.
As a result, this would help in a specific way to the following:
The study will give assurance to the proprietor that the business will be more competitive in terms of customer service and processing of operation, promoting profitability, and customers satisfaction.
Front desk In-charge
The study will provide efficient manipulation and computation of the bill of guests/customers. Through the computation process the in-charge can easily identify the available rooms or being used, the number of guest who checked-in and the specific time the guest would like to check-out.
The guests can enjoy convenience and efficient services through computerized reservation and billings. Less effort and time will be spent when paying their bills. Researchers
The output of the study would help the researchers understand better the operation. This would also give them opportunity to improve their interpersonal relationship through the interviews conducted. This will also help enhance and widen their knowledge and skills in system analysis and design.
The study will give them more knowledge about the operation of reservation and billing system in Kayla’ a Beach Resort. This would also serve as a reference in related studies in the future.
To gather specific information, the researcher presents the method to be used in gathering data and information.
The study will use the structured analysis (top down approach) for it will focus on refining the problem. Developers will introduce a computerized reservation and billing system which can improve the process of computing bills of the guests.
The study is considered a prototyping model because developers will have to conduct an interview with the user in order to know the requirements of the system to be developed. It will have quick designs which include only the important aspect that would give the user an idea of the system. Then, the developers will build a prototype form a given quick design and the user will evaluate it to recognize the strength and weaknesses of the system. Comments and suggestions will be collected from the user. After that, the developers will refine the prototype together with the additional information provided by the user. New prototype will be evaluated again until the final prototype is developed once the user is satisfied.
The research study will be conducted at Kayla’a Beach Resort Balbalan, Dimiao, Bohol. They used manual method in reservation and billing system. Most of the time, they encounter problems like loss of significant records and data.
The target respondents of the study are the manager/owner and the front desk office of Kayla’a Beach Resort.
Data Gathering Instrument
The researchers will conduct personal interview using the interview guide regarding the procedures and processes of reservation and billing.
Software Development Tools
The study will use the visual basic 8 as the front-end tool for coding and designing the software, MS access as the database, crystal report to generate and view report and windows 7 as windows-based operating system.
